Specialty service lines at this location: Dermatology, Internal Medicine, Oncology & Surgery

The Hospital Administrator serves as the operational leader of a high-performing, multi-specialty veterinary practice, overseeing daily operations, staff leadership, financial performance, client experience, and regulatory compliance across all specialty service lines at the location. This role partners closely with each service line, board-certified specialists, residents, and regional leadership to ensure efficient workflows, exceptional patient care, strong referral relationships, and sustainable growth across the entire location. The ideal candidate is a strategic, people-focused leader with experience in healthcare or veterinary operations, ideally across multiple departments or service lines, who thrives in a fast-paced, multi-specialty medical environment.

Animal Outpatient Specialty Network (AOSN) brings together leading veterinary specialty brands to serve as one of the largest veterinary specialty networks with more than 60 primary locations, numerous satellite clinics, and 100+ board-certified specialty DVMs and service lines co-located to offer clients coordinated, one-stop specialty care. Position Summary  

The Hospital Administrator leads daily operations, staff performance, client service, and financial management across all specialty service lines at the location, while supporting exceptional patient care in each specialty. 

This role is responsible for the overall operational performance of the hospital, including staff leadership, client experience, financial oversight, compliance, and facility management. This role partners closely with the Medical Lead of each specialty and the District Manager to ensure high standards of care, efficiency, profitability, cross-specialty coordination, and team engagement location-wide.

Education & Experience  

  • High School Diploma required (Associate's or Bachelor's preferred) 
  • Experience in healthcare, veterinary medicine, or service-oriented operations preferred 
  • Prior leadership, HR, and training experience strongly preferred 
  • Veterinary or specialty medical practice experience is a plus 
  • Experience in a multi-specialty, multi-department, or hospital-wide operations role strongly preferred 
  • Minimum of 3-5 years experience in healthcare, veterinary medicine, speciality medicine, or multi-site service 

Authority & Decision-Making  

  • Interview, hire, train, schedule, evaluate, discipline, and terminate staff 
  • Manage payroll within budget guidelines 
  • Resolve client service concerns within established parameters 
  • Oversee cash handling, deposits, and daily audits 
  • Approve scheduling adjustments and emergency determinations 
  • Serve as the primary operational decision-maker across all specialty service lines at the location; escalate specialty-specific clinical decisions to the relevant Medical leadership 
  • Mediate and resolve cross-specialty scheduling, shared-space, and resource conflicts 

Core Responsibilities  

Staff & Team Management  

  • Recruit, train, mentor, and evaluate front office and technical staff across all specialty service lines 
  • Manage schedules, payroll, timekeeping, and performance reviews 
  • Enforce clinic policies and maintain high morale 
  • Coordinate staff education, CE, and development 
  • Ensure efficient patient flow and team communication 

Multi-Specialty Coordination  

  • Serve as the central operational point of contact for all specialty service lines at the location 
  • Coordinate shared resources — exam rooms, imaging, surgical suites, treatment areas, front desk/reception — across specialties to maximize efficiency and minimize conflict 
  • Facilitate internal referrals and case co-management between specialties 
  • Standardize client-facing processes (check-in, estimates, follow-up) across all service lines while respecting specialty-specific protocols 
  • Align hiring, scheduling, and development for shared staff and specialty-specific staff 
  • Partner with each specialty's Medical Director to set service-line goals and resolve interdepartmental issues 
  • Consolidate and report location-wide financial and operational performance, with visibility by specialty service line 

Patient & Medical Operations  

  • Oversee patient intake, hospitalization, treatment coordination, and discharge across all specialties 
  • Ensure accurate, complete medical records and logs 
  • Ensure referral letters to referring veterinarians are sent in a timely manner 
  • Support technical staff and step in clinically as needed 
  • Maintain compliance with medical, safety, and quality standards across every specialty service line 

Client Experience & Front Office Oversight  

  • Ensure a professional, welcoming, and efficient client experience across every specialty 
  • Handle client concerns with diplomacy and resolution focus 
  • Oversee appointment scheduling, phone protocols, and follow-ups 
  • Ensure timely communication with referring veterinarians 
  • Support client education and estimate presentation 

Financial & Business Management  

  • Monitor revenue, expenses, and budget adherence 
  • Review daily transactions to ensure accurate charge capture 
  • Oversee cash handling, deposits, and financial audits 
  • Analyze financial reports and identify growth opportunities 
  • Track and report financial performance by specialty service line, in addition to overall location performance 

Marketing & Growth  

  • Support and execute internal and external marketing initiatives 
  • Ensure staff utilization of marketing tools and promotions 
  • Track effectiveness of marketing efforts 
  • Coordinate marketing and referral-development efforts across specialties to promote the location's full range of services 

Compliance, Safety & Facility Management  

  • Ensure OSHA, DEA, safety, and regulatory compliance 
  • Ensure all doctors and technicians are up to date with their professional licenses 
  • Oversee inventory controls and vendor coordination 
  • Maintain cleanliness, organization, and professional appearance of the clinic 
  • Coordinate facility maintenance and janitorial services 

Meetings & Communication  

  • Participate in leadership and district meetings 
  • Organize and lead monthly staff meetings 
  • Communicate corporate policies and operational updates to staff 
  • Facilitate regular cross-specialty leadership meetings to align on shared operations, resource use, and service-line goals 

Physical Requirements  

  • Ability to stand, walk, bend, and reach for extended periods 
  • Visual and auditory acuity sufficient for records and communication 
  • Fine motor skills for office equipment use 
  • Ability to work extended or irregular hours as needed
